Accepting Gathering 2008 Bids!

It's that time again!  Time for you, the fans, to decide when and where the next annual Gathering of the Gargoyles will be held!

The bidding to host The Gathering 2008 is now officially open. To allow the winning bid ample time to plan the 2008 convention, the deadline to submit bids for the Twelfth Annual Gathering of the Gargoyles, The Gathering 2008, is March 31, 2007. The Gathering of the Gargoyles Bid Selection Committee will review all bids and select the most qualified bid based on the completeness of the bid and adherence to the rules and guidelines listed below. The winning bid will be announced no later than April 21, 2007.

General Rules and Guidelines
Hosting The Gathering is a fun and exciting experience, but it's also is a serious commitment. The rules below outline all criteria which will be used to review bids and selected the winner from all bids made to host The Gathering 2008. Please be sure that you have read and understand these rules and requirements, and made sure your bid satisfies all criteria before you submit it. To be fair to all bidders, bids that do not contain all required information, or which are not submitted by the deadline, will be automatically disqualified.

We encourage bidders to make full use of the Internet in submitting their bids, but if you are not able to post your bid onlne, you may e-mail it to gathering2008@gatheringofthegargoyles.com with "Gathering 2008 Bid" in the subject line.  If you are unable to e-mail your bid, please mail a printed copy (handwritten bids will not be accepted) to:

Bids submitted by mail must still reach us before the March 31, 2007 deadline, so please allow time for your submission to reach us if you elect to mail your bid.

Bid Criteria
All bids must contain the following:
  • The phrases "The Twelfth Annual Gathering of the Gargoyles" and "The Gathering 2008" in the header.
  • The date the bid is being submitted.
  • Proposed convention location, in as much detail as possible. If you can propose a hotel or convention center as well as the city, please do so. At a minimum, you must list the city. Listing only a state or country will not be acceptable.
  • Proposed convention dates, in as much detail as possible. At the minimum, give the month. We realize that all dates are tentative at the bid stage. If you are selected, you should be prepared to finalize your date prior to The Gathering 2007.
  • A list of proposed convention staff. The proposed convention committee must consist of a minimum of five (5) people. The persons who will occupy the following positions must be designated on the bid: Convention Chair, Vice Convention Chair, and Treasurer. All persons occupying these positions must be adults, age 18 or older. Contact e-mail addresses for all staff members holding titled positions are required for a valid bid.
  • A tentative list of planned convention events, including seminars, workshops, and contests.
  • A tentative list of special guests. All potential guests you list must have been contacted to obtain their okay to list them. This is a rule of courtesy as well as a being required for a valid bid.
  • A list of local attractions, things to do, or other such description of why your city is a great place to host the next Gathering of the Gargoyles. Providing general information on travel and tourism, such as listings and/or links for the nearest major airports, contact information for the local tourism board (nearly every city has one), etc. is also encouraged.

If Your Bid is Selected
If your bid is chosen as the winner, your proposed convention staff will be recognized by the Gathering of the Gargoyles Board of Directors as the Convention Committee for the Gathering 2008. The Convention Committee will have the following responsibilities:
  • At least three (3) members of the convention staff must attend The Gathering 2007, including the Convention Chair and/or Vice Convention Chair.
  • The convention location and date must be finalized prior to The Gathering 2007. The convention staff should be prepared to sell prepaid memberships for The Gathering 2008 at The Gathering 2007.
  • The Convention Committee will be asked to make regular reports to the Board of Directors (via e-mail or otherwise) and provide updates on their progress on a regular basis.
  • The Convention Committee will assume full responsibility for all administrative and financial duties related to The Gathering 2008. The Board of Directors will provide guidance and oversight to the Convention Committee as needed.
  • The Convention Committee will be expected to develop and maintain a web site and mailing list for The Gathering 2008 using resources to be provided by the Board.
The Gathering of the Gargoyles wishes to remind all potential bidders that organizing and running a convention is a serious undertaking. Please be certain you are willing to make the full commitment of time and effort it will require before submitting a bid. We are committed to doing everything in our power to ensure a successful Gathering 2008, and we look forward to working closely with the selected Convention Committee.
